Information on collected data and privacy

(in accordance with the provisions of the Guarantor of the Protection of Personal Data in "Work: the guidelines of the Guarantor by e-mail and internet" of 1 March 2007. Information provided pursuant to Article 13 of Legislative Decree no. 196 of 30 June 2003 and subsequent amendments and additions, and in compliance with the University Information available on the page indicated among the related sites)

The data requested by the University are collected in accordance with Legislative Decree no. 196 of 30 June 2003.

The competent organisational units will process the personal data collected or extracted, with regard to the services within their competence, also with the aid of IT tools, exclusively for the purposes of the procedure in question and to a relevant extent, not excessive and strictly necessary for the pursuit of their institutional functions.

The data collected in relation to e-mail traffic shall be managed in such a way as to ensure confidentiality, fundamental rights and freedoms, and the dignity of users.

Traffic data (excluding the contents of messages) are kept in accordance with the provisions of current legislation and are provided to the competent authorities only in the cases provided for by law. The data containing the information related to the functionality of the System are used by the persons in charge of the management of the service for the sole purpose of functional checks (for organizational, production and security needs).

The data is not used either for the supervision of work or for the tracking of professional profiles.

Attention

When the Google account is activated, it provides the following message with a request for confirmation by the user:

Note that when you use Google services, your domain administrator has access to your account information, including your email messages. Click “I agree” below to indicate that you understand changes to your account and agree to Google’s Terms of Service and Google Privacy Policy related to your use of the additional services.
 
This message is a standard Google notice that states that the activities of the Domain Administrator (personnel of the UOC Networks and Systems of the ICT Service) are not the responsibility of Google, which therefore does not assume (rightly) the responsibility for the work of the Administrator.

In addition to Google’s information, please read the University’s policy regarding the management of these services below.

The G Suite for Education Service Administrator at the University of Brescia:

  • create accounts and mailboxes for users and generate credentials for the first login;
  • Cannot access users’ mailboxes, nor is it authorised to access other personal data of users contained in the G Suite for Education (Calendari, Google Drive, etc.);
  • it can change a user’s login credentials ONLY upon explicit request of the user (for example, if the user is no longer able to access his account).

In any case, the activities carried out by the Administrator are recorded in a special register (log) managed by Google and not modifiable by the Administrator, in accordance with the requirements of the Guarantor on Privacy.

Password Confidentiality Notice

The login password must be known only by the user owner. The Administration will never contact its users via email to ask for the password related to the services within the competence of the ICT Service.

The office recommends that you never enter your password after clicking on a link contained in an email or linking to an untrusted site. For access to the box use only the methods defined in the appropriate web page dedicated to the e-mail service.
